Main Duties

  • Organise and maintain VP’s schedule and make appointments.
  • Plan daily, weekly, monthly and yearly work schedule using Lotus Notes calendar (or any other available software) and decisions database. Make entries into Sales Force on all business meetings
  • Document VP’s and other directors’ business trips, arrange VP’s travel, visas and accommodations, rent transport, etc
  • Organise and, when required, attend meetings with participation of VP, prepare materials in compliance with the Group’s established standards and summarise results of the meetings
  • Take minutes on VP’s request
  • Travel with VP if required to provide and general assistance during presentations
  • Write and correct business letters and notices, draw documents on VP’s request in compliance with the Group’s established standards
  • Create presentations, reports and perform Internet research
  • Be proactive in identifying priorities, emergencies and important issues in connection with the day-to-day business needs

Required Skills

  • Minimum 2 year work experience
  • Fluent English and German (written and speaking)
  • Experience with multicultural environment
  • Writing and secretarial skills
  • Ability to communicate clearly and effectively with all levels of employees, management, customer and suppliers
  • Ability to communicate clearly and effectively with all levels of employees, management, customer and suppliers
  • IT skills, including the knowledge of Microsoft basic software
  • Team player
  • Able to work with minimum supervision and in a multi-national team and environment
